Final presentation

What went well:

On the night of my event we all got to the venue early so we could set up and make sure everything was ready before it started. We were greeted by Mark, the owner, who was friendly and made us feel comfortable. We had a tech there to help with the sounding, lighting and everything else which was very useful to have as our DJ needed some assistance with setting up. We then put our photo board out so that people could take pictures if they wanted, this was a good touch to the venue as it would get the audience involved and was a good sense of advertising because when people posted their pictures online it would be promoting our event. Once the DJ had arrived and the music began playing more and more people started arriving to the venue these people were friends, family, students, teachers from the college and others that could have either been regulars to Bar 42 or people that found out about the event online. This was really good as we managed to get the bar area full of people which was good for the venue and also for us as it meant the night was successful. I managed to get a family member to take pictures of the night with a camera which looked professional and also meant I have pictures to put on social media to show others that the event went well and to promote myself as an Event Manager. After the DJ left I spoke to the bar staff to see if we could put something else in place as the Bar didn't close till later on, so I arranged for a computer to be playing song requests this was also good as it meant again it was getting the audience involved and it kept the night going for longer. We also had a DJ cancel on us last minute which meant we had to sort out other arrangements, however, our first DJ Kiana was happy to play throughout the night instead of finishing her set at 8:15 this was good as it meant we didn't have to quickly try to get another DJ to play. 

Overall the event went smoothy and seemed to get quite busy around 8 onwards which was nice to see. We had a few people dancing on the dance floor which was great for photos, the song requests towards the end of the night worked very nicely with the audience and the photo frame was used a few times by people which was good so for my first event I think that it was successful with only a few aspects that could be improved. 

To be improved:

What could have been improved on the night was having two DJs performing, unfortunately the second DJ Charlee cancelled on the morning of our event which meant we didn't have time to look for another DJ this was disappointing as it would have been nice to have a mix of DJs and it would have meant Kiana could have a break. What also could have been improved was timing even though we prepared for any lateness and got  to the venue early our DJ still turned up late this again set things back for us as the music wasn't playing till around 7:15/20 which meant some people could have arrived at 7 and left thinking the night wasn't happening or be disappointed that there wasn't any music playing on arrival. This could have been better if we had told the audience that we were running late with things and if I was to do this again I would make sure that the DJs were definitely coming and try to make sure they didn't arrive late. Furthermore, everything was quite successful, however, some of the things that were meant to be happening on the day and were posted on the event page didn't happen, such as the open mic which was meant to originally be done so that the two DJs could changeover and have a break. However, I didn't really think that an open mic would have been successful with the audience so for me I wasn't too worried that it didn't happen, however for those who saw on the events page this was happening could have been waiting for it to happen be disappointed that it didn't. I think mostly for me the DJ aspect of the night let us down as we only had one DJ and was rushing to make sure that the songs were going to flow nicely throughout the night with different genres of 90's music playing, for example, Indie/Pop to start with then Rock/Punk ending the night with Dance/Club which again didn't really work out like requested and was more just a mix insome parts. Lastly, The DJ again left earlier even when I asked her to stay 10mins later as she got there late, however, this was sorted out in the end as we had song requests which seemed to work really well. If the college had a databese of DJs it could contain feedback so perhaps this would ensure that act were professional and stuck to thier agreement as other events management students could see their feedback and choose not to use them.
